Overview
Leader. Codes is a CRM platform for small and medium‑sized businesses, designed to manage and convert incoming leads.
The platform includes five interconnected modules: Inbox, Tasks, Calendar, Leads, and Contacts, with additional subsystems such as landing page builders and email templates integrated into the core.
This case study focuses on the Inbox, where the pipeline begins and leads convert to action.
Challenge
Small and mid‑size businesses were running marketing and operations across separate tools, so messages and lead data were scattered between systems with no single view of the pipeline.
The challenge was to design a CRM in which each module could operate independently while activities stayed synchronized, so it was always clear who owns each lead and what should happen next.
Approach
The Inbox is designed as an active workspace rather than a passive message list, allowing users to send email and SMS, trigger notifications, and create follow‑up tasks from a single thread.
At the same time, those actions update tasks, meetings, and leads in the CRM.
Architecture
Mapped five interconnected modules — Inbox, Tasks, Calendar, Leads, Contacts — with subsystems such as landing page builders and email templates integrated into the core.
Flows
Mapped both cross‑module workflows and stand‑alone flows per module.
Triggers
Defined how Inbox actions propagate to tasks, meetings, and lead updates across the platform.
Prototype
Explored edge cases and cross‑module flows through prototypes to surface ambiguities before handoff to development.
Key Design Decisions
Email‑to‑object conversion
Enabled creating tasks, meetings, and leads directly from the Inbox, while preserving the connection to the original message and maintaining full traceability.
Side panels for contextual actions
To keep actions fluid and context intact, task and meeting creation were designed to open in side panels over the Inbox rather than navigating away from the current thread.
Multi‑action compose
To handle lead communication in a single interaction, the compose was designed to support multiple outputs — email, SMS, notifications, and task assignment — through selectable action toggles rather than switching between tools.
Impact & outcomes
As the first and sole designer, designed and shipped a full CRM platform from scratch, bridging the need for multi‑tool flexibility with a single synchronized pipeline.
The Inbox supports email‑to‑object conversion, multi‑action compose, and cross‑module updates, all within a single, consistent interaction model built in close collaboration with the CTO.
